Job Description

Personal Assistant

A prestigious hedge fund with a wonderful company culture is seeking a Personal Assistant in an in-office, concierge style role.

This role will support up to 4 senior level executives, partnering with their EAs.

Salary is commensurate with experience: $120-210k range + discretionary bonus + fully paid benefits, 401k, 25 days PTO and free meals in office

Location: Corporate office in Midtown East NYC

In office 5 days/week Monday – Friday but also might be out running errands or helping out with some off-site work if needed

Hours: generally 7:45am-6/6:30pm and 24/7 mentality/responsive after hours to anything urgent.

Qualifications:

  • 5+ years (open to 3+) of PA experience is ideal, supporting execs out of financial services, private family office or UHNWI
  • Degree preferred, but not required
  • Ability to utilize strong judgement to figure out priorities between the executives and communicate expectations and timelines
  • Someone who can drive outcomes and is proactive with strong follow-up
  • Extremely collaborative and team oriented – warm personality

Responsibilities include:

  • Manage restaurant reservations and coordinate dining plans across multiple executives, including last-minute changes and special requests.
  • Plan and execute personal events, handling logistics, vendors, calendars, and detailed follow-through.
  • Coordinate gifting end-to-end, including sourcing, ordering, personalization, tracking, and timely delivery.
  • Prepare and send personal card correspondence, including drafting, proofreading, and ensuring an appropriate tone and presentation.
  • Own ad hoc projects for the principals, such as creating a family photo album following a special event, and drive them through completion with high attention to detail.
  • Plan personal travel from start to finish, including itineraries, bookings, ground transportation, and real-time adjustments as needed.
  • Coordinate doctor’s appointments and manage related logistics, including insurance, bills, and follow-up documentation.
  • Run ad hoc errands and provide off-site support as needed, ensuring priorities are handled efficiently and discreetly.
