Job Description

Title: Administrative Assistant

Type of Role: Short-term contract (temp coverage)

Target Start Date: Wednesday, April 8 (training/shadow)

Work Schedule: Wednesday, 4/8 – Friday, 4/10, 8:30 AM–5:00 PM

Location: On-site Dallas 75207 (Design District office)

Compensation: $22 to $24/hr depending on experience

Our client is currently seeking immediate administrative support to ensure seamless front office operations while your team is onsite for an upcoming offsite. Increased workload, recent office expansion, and a lean team structure drive this need.

Responsibilities

  • Lead front office operations and provide reception support
  • Greet and assist visitors, manage guest check-ins, and notify internal stakeholders
  • Handle incoming/outgoing mail, packages, and deliveries with accuracy and timeliness
  • Support meeting logistics including conference room setup, technology coordination, and catering
  • Maintain office supply inventory and coordinate reordering as needed
  • Partner with building management and vendors on office maintenance and facilities needs
  • Assist with light accounting support (check deposits, expense tracking, invoice coordination)
  • Maintain organized electronic and physical filing systems
  • Support internal initiatives including mail campaigns and marketing-related efforts
  • Assist with planning company events, offsites, and travel coordination
  • Provide general administrative support across office management, HR, and leadership as needed

Experience

  • Minimum 2+ years of administrative or office support experience
  • Strong professional presence with excellent communication skills (written and verbal)
  • Highly organized with strong time management and ability to multitask
  • Proactive, solutions-oriented mindset with the ability to anticipate needs
  • High level of discretion and ability to handle confidential information
  • Comfortable working in a fast-paced, dynamic, and collaborative office environment
  • Adaptable, flexible, and willing to take on evolving responsibilities
  • Positive attitude with strong cultural alignment to a high-performance team

Technology & Tools

  • Microsoft Office Suite (Outlook, Excel, Word, etc.)
  • General office systems and tools (mail, calendar, file management)
  • Ability to quickly learn new internal systems and processes
